Voicemail has been the default for tradespeople for as long as mobiles have existed. It's free, it's familiar and it just about works. So is an AI receptionist actually better, or is it just another monthly bill?
I run Slotby, which is an AI receptionist, so I'm obviously biased. I'll try to be fair anyway, including where voicemail is perfectly fine.
How Voicemail Works for a Trade Business
Someone rings, you don't answer, they hear your greeting and they either leave a message or hang up. Later, you listen to your messages, work out who's who and ring them back.
What's good about it: - It costs nothing. - It's already set up. - Regular customers are used to it. - You decide who to call back and when.
Where it falls down: - Plenty of people hang up rather than leave a message, especially new customers with an urgent problem. They just ring the next plumber. - Messages are often missing the basics, like the address or what's actually wrong. - Every message means a callback, and callbacks often end in phone tag. - Nothing gets booked until you're free, which might be hours later. - Out of hours, a voicemail can feel like nobody's home.
How an AI Receptionist Works
With an AI receptionist, calls you don't pick up are diverted to an assistant that talks to the caller in a natural way. A good one is built around how a trade business actually runs.
With Slotby, the assistant introduces itself as your AI assistant and says the call is recorded. It then asks for the caller's name, address and postcode, and what the problem is. It checks whether they're within your travel range, and if you have a free slot it books the job straight into your Google Calendar and texts the customer to confirm. If the job doesn't fit, say it's too far away or too far in the future, it takes a proper message and texts it to you. If someone mentions a gas smell, it gives safety advice and the emergency number straight away rather than booking a routine slot.
What's good about it: - Every call gets answered, any time of day. - The caller feels looked after rather than ignored. - You get complete details every time. - Many calls end as a booked job, not a "please ring me back". - You can see a summary of every call.
Where it falls down: - It costs money. Slotby starts from £79 a month. - It isn't a human. Some callers, particularly a few older customers, would rather speak to a person. Being upfront that it's an AI helps, and they can always leave a message for you. - It needs setting up with your diary, working days and area, and you should check it closely for the first week or two. - It can't diagnose a fault over the phone or give a quote, and it shouldn't try.

Which Is Right for You?
Stick with voicemail if: you get a few calls a week, most are regular customers who know you, you nearly always ring back within an hour, and your diary is already full.
Look at an AI receptionist if: you're out on jobs all day, you're missing calls from new customers, you're spending evenings returning calls, or you're paying for ads or lead sites and want to make sure every enquiry gets handled.
Plenty of tradespeople end up with both. The AI answers when you can't, and anything it can't handle becomes a clear message for you to deal with. Voicemail stays as the backup.
A Quick Word on Trust
Some tradespeople worry an AI will put customers off. Honestly, the biggest thing is being open about it. Pretending a bot is a person tends to backfire when people work it out. Saying "you're through to Dave's AI assistant" up front, then being genuinely helpful, goes down far better. That's why Slotby always does it.
Try It Before You Decide
The easiest way to judge is to hear it. Try it yourself on our demo line, 07476 959334, by booking a pretend job, then compare it with ringing your own voicemail. If you decide to try Slotby properly, there's a 14-day money-back guarantee, so it's low risk.
